4. Microsoft Bookings and Teams meetings
We use Microsoft Bookings to let visitors choose an available time and provide meeting details. Microsoft 365 may process the booking details you submit and store booking-related data within Microsoft services, including Exchange. A booking may generate confirmations, reminders, calendar entries, and a Microsoft Teams meeting invitation.
We use this information to schedule, prepare for, conduct, and follow up on the requested meeting. Microsoft processes information under its applicable contractual terms and privacy documentation. Do not include confidential, special-category, health, payment, or other sensitive information in free-text booking fields unless we specifically ask for it through an approved channel.
5. When we share information
We may share personal information only as reasonably necessary with:
- Service providers that host, secure, maintain, or support our website and business systems, including Microsoft for Bookings, Outlook, and Teams.
- Professional advisers, auditors, insurers, and authorities where required for legitimate business or legal purposes.
- A buyer, investor, or successor as part of a proposed or completed corporate transaction, subject to appropriate safeguards.
- Your organisation or authorised colleagues where the enquiry or meeting concerns their business relationship with us.
We do not sell personal information or share it for cross-context behavioural advertising.

We use reasonable administrative, technical, and organisational safeguards. No internet transmission or storage system is completely secure, so we cannot promise absolute security.
8. Your privacy rights
Depending on where you live, you may have rights to access, correct, delete, restrict, or obtain a copy of your personal information; object to certain processing; withdraw consent; opt out of certain sharing or targeted advertising; limit certain sensitive-data uses; and not be discriminated against for exercising a right.
